Assistant to Institutional Advancement & Gift Intake Coordinator

The Assistant to Institutional Advancement & Gift Intake Coordinator ('Assistant') will provide administrative and communication support to the Advancement Department. The duties are listed below.

Answer telephones promptly and professionally
Assist with all fundraising campaigns, including direct mail and social media
Assist in the planning, logistics, and promotion of all on and off campus alumni, community and donor events including Homecoming and Alumni Weekend and affinity group reunions (choir, athletic teams, etc.)
Assist with current and prospective donor research and reporting
Prepare correspondence letters (paper and electronic); create or respond to emails, manage social media etc., retrieve and distribute mail, prepare mailings as needed
Maintenance of office equipment, submit work orders for repairs
Maintain office supplies by checking inventory and order items; ensure office and supply closet is kept clean and organized at all times
Assist in preparation of conference and/or presentation materials, including gift bags
Record gifts/pledges in database; enter new constituents and maintain accurate donor records
Process gifts/pledges using the proper identification codes assigned to all constituent accounts
Coordinate requisite gift receipts and gift acknowledgement correspondence, ensuring accuracy and relevancy of wording
Alert appropriate Advancement personnel of any notable donor activity (i.e. change in giving patterns, significant first-time donors, etc.) and correspondence
Respond to donor, alumni and community member inquiries (phone, e-mail, online)
Provide totals for all gifts for the accounting records in the Business Office and deposit checks/cash/credit cards daily
Process corporate matching gift forms (paper and online)
Review and update as needed online donation pages
Assist Advancement Database Manager with maintaining database and data-related projects
Maintain donor files and archival systems within the Advancement area
Be present for and manage end-of-calendar year and end-of-fiscal year processes
Work with other departments on ad-hoc fundraising appeals, including tracking, reporting and receipting
Other related duties as assigned by the Director of Advancement and Alumni Relations

Position Requirements
Bachelor’s degree in Business Administration, or related field
One to three years of related office experience, preferably in higher education
Strong computer proficiency with Microsoft Office Suite, Excel proficiency is required; database and data management skills are preferred;
Excellent written, oral communication, and mathematical skills
Ability to multi-task
Available to work evenings or weekends, as needed
Work independently or with a group
Self-starter with desire to learn all aspects of Advancement
Ability to exercise good judgment and decision making when representing the college at on and off campus events as well as when interacting with faculty, staff, students and outside organizations/community
